Role Overview

We are seeking a highly organized, tech-savvy Finance and Administration Manager to serve as the operational backbone of our company. In this hybrid role, you will bridge the gap between daily financial operations, office management, and human resources support. You will not be responsible for traditional bookkeeping or payroll processing; rather, you will serve as the primary internal manager for all transactional finance (AP/AR), vendor relations, and external financial partnerships.


Because you will be the point of contact for internal executives, external vendors, partners, and customers, exceptional writing and communication skills are essential for this role.


Key Responsibilities

Financial Operations (AP/AR & Billing)

  • Manage the complete Accounts Payable (AP) process, including receiving, verifying, and paying vendor bills in a timely manner.
  • Manage the Accounts Receivable (AR) process, including generating and sending customer quotes, issuing invoices, and following up on outstanding payments.
  • Process and reconcile executive travel and expenses (T&E), ensuring adherence to company expense policies.
  • Act as the primary liaison with Bench (our external bookkeeping service) and our payroll provider. This includes navigating the Bench platform to pull financial reports, providing them with necessary documentation, and answering daily inquiries.

Vendor, Customer, & Document Management

  • Serve as the main point of contact for all vendors, managing relationships, contact information, and contract files.
  • Issue, track, and manage Purchase Orders (POs) and match them against incoming receipts and invoices.
  • Communicate professionally with partners and customers regarding quotes, billing, and account status.
  • Design and maintain a highly organized digital and physical filing system for all vendors, customers, and expense reports.

Office & HR Administration

  • Oversee general office management duties, ensuring the workspace is organized, supplied, and running smoothly.
  • Lead the HR administrative onboarding process for new hires, including entering new employee data, setting up system access, and coordinating orientation.
  • Maintain and update internal employee files and records.

Qualifications & Skills

  • Experience: Proven experience in office management, financial administration, or a similar hybrid operational role, with a strong understanding of basic AP/AR processes.
  • Communication: Exceptional written and verbal communication skills. You must be highly comfortable and professional when communicating with internal executives, external vendors, partners, and customers.
  • Software Mastery: Thorough, expert-level knowledge of Google Workspace is required.
  • Tech-Savvy: Ability to quickly learn and navigate web-based platforms.
  • Bonus Systems: Familiarity with the 37Signals stack (Hey email and Basecamp) and Bench is a major plus, though we are happy to train the right candidate on these specific tools.
  • Attributes: Exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple priorities while acting as a gatekeeper for executive expenses.

Compensation & Perks

  • Salary: $95,000 – $115,000 per year, commensurate with experience. (Note: Our cash compensation is designed to be highly competitive as we do not currently offer employer-sponsored health insurance or retirement plans).
  • Time Off: Flexible/Open PTO policy.
  • Performance Bonus: 10% - 15% tied to successful implementation of key milestones (inventory rollout, assembly efficiency, team expansion), and overall company success.
